Your VAT return is only as good as the records behind it
Every VAT return you file is a summary of thousands of underlying transactions: sales invoices, purchase bills, expenses, imports, adjustments. If those records are incomplete, miscategorised, or inconsistent, your return is wrong, even if the person filing it did their best. And when the FTA audits, they do not ask about your return first. They ask for your records.
VAT accounting is the discipline of keeping those records right, every day, not just at filing time.
Inspire MS Tax Consultancy provides specialist VAT accounting services across the UAE. We maintain your VAT books accurately, reconcile every figure, and keep documentation organised so your returns are correct and your records survive any FTA review.
VAT accounting is the systematic recording and management of all transactions affecting your VAT position: output VAT on sales, input VAT on purchases, adjustments, imports, exports, and exempt supplies. It goes beyond general bookkeeping because every entry must carry its correct VAT treatment.
Proper VAT accounting includes:
Transaction-level VAT coding: every sale and purchase recorded with its correct VAT treatment: standard rated, zero-rated, exempt, or out of scope
Input/output VAT tracking: running balances of VAT collected versus VAT paid, reconciled to the general ledger
Tax invoice compliance: ensuring every invoice issued and received contains the details VAT law requires
Reconciliation: matching VAT account balances to returns filed, with differences investigated and explained
Record retention: organising all VAT records for the five-year retention period the law requires (15 years for real estate records), noting the FTA can require up to four further years where an audit or dispute is in progress
Returns depend on it. An accurate VAT return is impossible without accurate VAT accounting behind it. Most filing errors trace back to miscoded transactions, not filing mistakes.
FTA audits examine records, not returns. When the FTA audits, they sample your underlying records. Disorganised or incorrect records turn a routine audit into penalties.
Input VAT recovery depends on documentation. You can only recover input VAT with valid tax invoices meeting legal requirements. Missing or non-compliant invoices mean lost recoveries, real money left on the table.
Penalties compound. Incorrect returns from poor accounting lead to voluntary disclosures, penalty payments, and increased audit attention. Good accounting prevents the cycle.
Complete VAT Bookkeeping: Day-to-day recording of all VAT-relevant transactions with correct tax coding, maintained monthly by our accountants.
VAT Reconciliations: Regular reconciliation of VAT control accounts to filed returns, sales and purchase ledgers, and bank records, with every difference explained.
Tax Invoice Review: Checking that your issued invoices meet all VAT law requirements and that supplier invoices you rely on for input recovery are valid.
Backlog VAT Accounting: Behind on your VAT records? We reconstruct and organise historical VAT accounting to bring you current and audit-ready.
VAT Records Organisation: Structuring your five-year VAT archive: digital organisation, document linking, and retrieval systems that make audits painless.
FTA Audit File Preparation: Transaction-level data exports (general ledger, invoices, credit notes, chart of accounts) that reconcile to your filed returns, prepared so you can respond immediately if the FTA requests them.
Monthly VAT Reporting: Clear monthly reports showing your VAT position: output VAT, input VAT, net payable or refundable, with commentary on significant movements.
Trading companies: high transaction volumes with mixed local, import, and export supplies need careful coding of each supply type.
Service businesses: correctly distinguishing taxable, exempt, and out-of-scope services, particularly for financial and professional services.
Free zone companies: proper treatment of designated zone transactions, imports, and mainland supplies, a frequent source of errors.
E-commerce: marketplace sales, cross-border transactions, and digital services each carry specific VAT treatments.
Contractors: long-term contracts, retentions, and variations need VAT accounting that matches commercial reality.
Mandatory e-invoicing changes VAT bookkeeping fundamentally. Your B2B and B2G invoices will be structured PINT-AE data exchanged through an Accredited Service Provider on the Peppol network, not PDFs. The FTA receives your transaction data directly through this channel, so your books and your returns must match exactly: discrepancies are visible immediately. We set up automatic reconciliation between e-invoice data and your VAT ledgers, and review your invoice templates and tax coding before your phase goes live: 1 January 2027 for revenue of AED 50 million or more, 1 July 2027 for all other businesses.
Step 1: Assessment. We review your current VAT accounting: how transactions are coded, how records are kept, and where the gaps are.
Step 2: Setup. We configure your chart of accounts, VAT codes, and invoicing templates for correct VAT treatment from day one.
Step 3: Monthly processing. Our accountants record, code, and reconcile your VAT transactions each month.
Step 4: Review and reporting. You receive monthly VAT position reports with our review notes on any issues found.
Step 5: Filing support. Clean, reconciled records flow directly into accurate VAT return preparation and filing.

Regular bookkeeping records financial transactions. VAT accounting additionally ensures every transaction carries its correct VAT treatment, maintains VAT-specific reconciliations, verifies tax invoice compliance, and organises records to VAT law retention standards. It is bookkeeping with a VAT compliance layer.
Five years from the end of the tax period they relate to (15 years for real estate records). This applies even after deregistration. Records must be available to the FTA on request, in an organised and accessible form, and the FTA can require up to four further years where an audit or dispute is in progress.
A full tax invoice must show the supplier's name, address and TRN, the invoice date and number, the customer's details, a description of goods or services, quantities, unit prices, the VAT rate and amount per line, and totals. Simplified tax invoices are allowed for supplies of up to AED 10,000. We verify your invoices meet these requirements. One caution: once a business opts into the UAE e-invoicing framework, simplified invoices can no longer be issued, so your invoice templates need review before the switch. From 1 October 2026, credit notes must also be labelled "Tax Credit Note".
No. Input VAT is recoverable on most genuine business purchases with valid tax invoices, but certain expenses are blocked, notably entertainment expenses and motor vehicles for personal use. We ensure only valid input VAT is claimed.
The FTA can disallow input VAT claims lacking proper documentation and assess additional tax with penalties. Complete, organised records are your best defence, which is exactly what our VAT accounting provides.
Yes. We regularly reconstruct months or years of VAT records for businesses that fell behind, bringing them current and preparing them for filing and potential audit.
It depends on transaction volume and complexity. Monthly VAT accounting for a small business is very affordable; larger operations with complex supply chains cost more. We quote fixed monthly fees after a free assessment.
Yes. Our accounting review services examine your books for VAT coding errors, reconciliation gaps, and compliance risks. Each account review is documented with findings and fixes.
Clean VAT accounting today means painless filings and audits tomorrow.
